Showings

Showing appointments are scheduled through the office and all prospective tenants are pre- screened over the phone prior to viewing the property. Tenants are always accompanied by an EXPERT PROPERTY MANAGEMENT professional or a licensed agent.

Qualify Applicants:

  • Prospective tenants are screened based on the following criteria:

    • Employment Verification
    • Previous Rental History/Landlord References

    • National Eviction database
  • Pets require a picture of the pet and documentation regarding shots.
  • Once the tenant has been qualified we present the information to the owner to make the final decision.

Lease Signing

Once a tenant has be qualified and accepted by the Owner, the deposit will be collected and lease will be prepared. All leases are prepared by the Law Offices of Heist, Weisse & Wolk, P.A. A licensed attorney specializing in landlord – tenant law. A licensed agent and in most cases the property manager will thoroughly review the lease and all necessary documentation and acquire signature with the new tenant prior to occupancy and issuance of keys.

Make Ready

Expert Property Management coordinates all make ready repairs and cleaning between tenants to minimize periods of vacancy. Any excessive wear and tear or damage caused by tenant will be deducted from the tenant’s security deposit.
Expert Property Management will, upon the vacancy of the previous tenant and before the occupancy of the new tenant, coordinate the turn over repairs which includes repair of any damage and cleaning of the unit. Owner does pay for all make ready expense deemed normal wear and tear. Owner is responsible for initial cleaning and professional carpet cleaning upon listing the property.

  • Repair of any damage to the property

Rent Collection

Rent is due on the 1st day of each month and considered late after the 5th day of the month. Any rents paid after the 5th must be in the form of a cashier’s check or money order. Expert P.M. Reserves the right to imposed late fees at their discretion and retain such charges and fees. This is to ensure the owner receives their rent in timely manner.

Rental funds are dispersed to the owner on or before the 10th of the month.

Maintenance Requests

Expert Property Management is responsible for responding to general work order request as well as maintenance emergencies. We have a quality list of trusted vendors who have an outstanding track record with our office. Tenants are encouraged to do basic trouble shooting, including checking breakers and looking for reset buttons.

  1. Repairs requests are submitted through the maintenance request on our website or called in by Tenant. After Hours / Weekend service calls will be forwarded directly to property manager’s cell, non-emergency repairs may be postponed to next business day.
  2. Work order is created including date, time and urgency or the repair.
  3. Repairs are performed by third party independent vendors
  4. Our trusted vendors use their professional judgment to make repairs and alterations on the premises, purchase supplies and materials, to be build the owner.
  5. Experts Property Management reserves the right to spend up to $100 for emergency repairs without notifying owner.
  6. Owner will be notified of all repairs. Any repairs exceeding $500, owner may request multiple quotes.
  7. Repairs made will be deducted from following months’ rent. Any repairs exceeding one month’s rent will be forwarded to the owner to pay directly.

Owner have full access to any of our trusted vendors to answer questions and explain repairs. Owner may also use our trusted vendors for personal projects.
In the event the owner employs a recommended or outside vendor directly to make repairs or improvements to a property, the owner shall pay the third party directly.

Paying Bills

Expert Property Management will make any bill payments for monthly services attached to the property as long as we have the funds to do so. Payment may not exceed monthly rent income to owner.

  • Including but not limited to:
    • Lawn Care
    • Pool Care
    • HOA Dues
    • Utilities during vacancy and if included with rent.

Owner must provide a copy of the initial invoice for monthly service or have billed send directly to Expert Property Management 4110 S. Florida Ave Suite 110.

Expert Property Management will NOT make mortgage or insurance payments on owner’s behalf.

Property Move In / Move Out

A move in walk thru evaluation of the unit will be conducted by an Expert Property Management team member prior to occupancy of the unit. This form is to document the condition of the unit prior to move in, occupancy and issuance of keys. The tenant will be provided a copy of the detailed walkthrough form and allowed to add any additional pre- existing issues for the first 7 days of the lease period.

Move In / Out Form:

  • Detailed Walkthrough form out lining condition of each room
  • Detailed Pictures including condition of appliances, bedroom, bathrooms, and living spaces
  • Signed off on by the tenant
  • Used in Security Deposit Accounting

A move out evaluation is conducted upon vacancy of the unit to assess the condition of the home. Determining any tenant caused damage beyond normal wear and tear. Original walkthrough form and pictures from move-in will be used to determine needed repairs. Tenant may not be present.

Property Condition Evaluations during Occupancy:

  • Yearly Interior Inspections are performed at the time of lease renewal
  • Regular Drive-By's are performed and may require an interior inspection if exterior is in poor condition

Security Deposits

The security deposit belongs to the tenant until a claim has been made against it or the tenant forfeits the deposit willingly by breaking the lease agreement. All security deposit claims must be done within 30 days from move out.

Security Deposit Accounting shall include the following:

  1. Security Deposit held in escrow
  2. Amount of rent or unpaid charges against the tenant at move out
  3. Amount of repair charges and/or cleaning charges to be assessed
    • Itemized list of work and invoices will be attached to the forms for any repairs, cleaning and/or replacement of items above normal wear and tear
  4. Balance of the Security Deposit after deductions are refunded to tenant

Owner Statements

Reports are sent to owner no later than the 10th day of the month. Typically included with rent check, accounting any repairs and charges up to end of previous month.

Owner Statements will include the following:

  1. Cash Flow Income collected (Rents)
    • Expenses incurred for the previous month
    • Monthly services (pool, lawn, utilities)
    • Funds distributed to the owner
    • Monthly management fee
  2. Invoices
  3. Receivable Summary
    • Tenant name, address, rental rate, rent paid/due

Owner proceeds can be distributed by paper check or direct deposit via REVOPAY. Landlords who have rent direct deposited receive statement by email.
